4.2 Your profile

To tailor our service optimally to your needs, we collect the data you share with us through the above channels and record it in our CRM system. This way we can always link our previous contacts to customers we already know.

5. Who has access to your data?

We have access to your personal data when this is necessary to perform a processing operation as described above. We will not pass on your personal data to third parties without your consent. Your personal data will be stored in our CRM system, to which access is restricted and appropriate technical and organizational measures have been taken to ensure its security. All persons who have access to the CRM system are bound to confidentiality.

We may share your information with the following parties:

  • With our employees, including independent workers, for the performance of their duties.
  • With external service providers who provide services or process data on our behalf, or for data centralization and/or logistical purposes. They act only as processors and thus use your data only under our strict conditions.
  • With suppliers, consultants, marketing partners and other service providers who need access to such information in order to work on our behalf. They too act only as processors and thus use your data only under our strict conditions.
  • With competent authorities in response to a request for information if we believe disclosure is consistent with, or otherwise required by, any applicable law or regulation (notary, municipality, OVAM, etc.) or legal process.

We will not transfer your data to customers outside the EEA (European Economic Area) without your express consent.

6. How long will your data be kept?

We will initially keep your personal data for 2 years. After this period, you may extend your consent for another year at a time by accepting our request for extension. Otherwise, your personal data will be anonymized.

7. What are your rights?

The General Data Protection Regulation (AVG) foresees for you as a user of the Website a number of rights that, within certain conditions, can be invoked. Below you will find a list of these with a brief explanation.

7.1 Right of access

Right of access means first and foremost to inform you about what happens to your personal data and to describe your rights. You can find these in advance under the section "4. What information do we collect and what do we use it for?

We must also provide you with a copy of your personal data at your request. You will receive a copy upon simple request through one of the aforementioned channels. Please note that only the first copy is free of charge. We reserve the right to ask you to provide us with proof of your identity to prevent us from disclosing your personal data to third parties. It is possible that certain documents contain personal data of third parties who enjoy the same protection as you. We therefore need to anonymize certain documents, which may take some time. We will always inform you if we cannot fulfill your request within one month.

7.2 Right to rectification (right to correction).

If we are in possession of incorrect or no longer current personal data, we will correct it upon simple request. In the event that we ourselves suspect that your personal data is no longer current, we may contact you to verify this.

7.3 Right to data erasure (right to be forgotten)

If you meet any of the following criteria, we will delete your data. Your e-mail address and/or telephone number and/or address and/or name will be blacklisted so that our system will recognize that you no longer wish to be contacted.

Circumstances in which we may delete your personal data:

  • If we no longer process your personal data or no longer need it.

  • For the establishment, exercise or defense of legal claims.
  • For public health reasons.
  • The right to freedom of expression and information prevails.

7.4 Right to restriction of processing.

We will stop processing in the event that:

  • We are in possession of incorrect data.
  • When our processing is deemed unlawful.
  • There are legal claims.
  • There is a right to object within the meaning of Article 21 of the AVG until the issue is clarified.
  • When the restriction of processing no longer has a raison d'être, we will inform you of the reasons for lifting the restriction.

7.5 Right to notification

If you invoke the above rights, with the exception of the right of access, we will communicate this to any recipient to whom your personal data has been disclosed, unless this proves impossible or involves disproportionate effort. We will inform you of those recipients upon your request.

7.6 Right to data portability

All personal data that you have provided to us, that we process based on consent and that we process through automated means, will be sent to you or another controller (if technically possible) in "readable format" upon request. For example, we may hand you a CSV file of your data or transfer it to another party you designate.

7.7 Right to object

If we process your personal data on the basis of legitimate interest or on the basis of performing a task of public interest, you may object. We will examine your objection and only continue processing after investigation if we can prove that we have a legal reason to continue processing. The conclusion of the investigation will be communicated to you.

If you object to direct marketing based on legitimate interest, we will stop sending you direct marketing from the moment we receive your request to do so.

8. Can you withdraw your consent?

Yes, you can withdraw your consent to the processing of your data at any time. However, there are two exceptions. First, if there is another legal basis for processing your data, we will still process your data within that legal basis. Second, withdrawal of consent may not be used to circumvent contractual obligations. In short, if you withdraw your consent, it only operates toward the future and all previous processing is considered legal. If the need to perform a contract is present, your data will continue to be processed on that basis.

10. Changes to our privacy policy

This privacy policy replaces all previous versions and is effective April 1, 2026. We reserve the right to modify and/or update this privacy policy at any time.

In case of inconsistencies between this privacy policy and the special terms applicable to certain products and services, those special terms will take precedence over this privacy policy.
